This guide provides essential information to foreign institutions on applying for approval to independently host or co-organize foreign-related economic and technical exhibitions in the Hainan Free Trade Port.
Basic requirements
Applicants shall satisfy the conditions for obtaining approval to independently host or co-organize foreign-related economic and technical exhibitions in the Hainan Free Trade Port, including the following:
1. The foreign institution shall be legally registered in its home country and shall provide registration documents together with certification issued by the Chinese embassy or consulate in the relevant country.
2. The foreign institution, and any co-organizing institution where applicable, shall possess the legal capacity to independently bear civil liability.
3. Where two or more foreign institutions jointly organize an exhibition, or where a foreign institution jointly organizes an exhibition with, or entrusts a domestic organizer, the first-listed organizer shall submit the application.
4. Where a domestic co-organizer is a corporate legal entity, its business license shall include exhibition-related business activities within its approved business scope. Where the co-organizer is a social organization or public institution, its registration certificate shall include exhibition-related activities within its approved scope of business.
5. For a first-time exhibition, the application shall be submitted at least six months before the proposed opening date. For exhibitions that have been previously held, the application shall be submitted at least three months before the proposed opening date.

1. Application letter;
2. Application form;
3. Registration documents of the organizer;
4. Organizer agreement;
5. Agreement between the principal organizer and undertaking organizer;
6. Supporting documents evidencing any change of organizer;
7. Exhibition information sheet;
8. Exhibition emergency response plan;
9. Exhibition intellectual property protection plan;
10. Approval document for the previous exhibition.
